Churchill Downs Entertainment Group (CDE) will connect deserving children involved with the Make-A-Wish Foundation® with their favorite musical artists as part of a joint partnership for the inaugural HullabaLOU Music Festival, scheduled for July 23-25, 2010 at Churchill Downs Racetrack in Louisville, Ky.
Through the partnership, Make-A-Wish Foundation® will oversee the HullabaLOU volunteer efforts. Make-A-Wish Foundation® will train and schedule 350 volunteers in a variety of committees, assignments and positions.
Volunteer applications are currently being accepted on a first-come, first-served basis. Participation in the program will give local, regional and national music enthusiasts the opportunity to be a part of one of the largest musical extravaganzas ever celebrated in Louisville.
Each volunteer will receive a HullabaLOU uniform t-shirt, complimentary parking with shuttle service, and a volunteer credential allowing access to the festival for each shift, but also allows General Admission access to the festival when not scheduled to work.
Volunteers may sign up by downloading the application and returning to the address specified on the application. All volunteers will be subject to a background check, will be required to contribute a minimum of 12 hours over 3 separate shifts and must be flexible to meet the needs of their assigned committee, before, during and after the festival.

All volunteers will be required to attend a MANDATORY training session on either Wednesday July 21, 2010 or Thursday July 22, 2010. This is where you will learn about your specific responsibilities, but you will also receive your uniform and credential at this session. The exact date and time of your training session will be communicated to you in the coming months.
VOLUNTEER COMMITTEES
Info Centers/Access Center/Lost and Found/Volunteer Check in
Volunteers assigned to the Info Centers are stationed in one of four fixed locations to help answer the questions of all festival attendees. These could include questions about where the stages are, where the closest restroom is, or where is a good place to grab a burger after the festival. This is a great position that will allow you interact with and meet festival attendees from all over the country.
Volunteers stationed in these locations will also distribute information to those persons with disabilities that may need additional information to navigate the festival. This will include an access wristband, which will grant access to specific viewing areas around the festival grounds.
These centers will also serve as a Lost and Found center. Volunteers will take lost items and catalog so that once a patron looking for their lost item makes their way to the Info Center; they will have the item waiting for them.
Working Conditions: Duties will require volunteers to sit and stand in one location. Info Centers will not be air conditioned but will offer shade from the sun. Volunteers may be asked to lift items up to 10 lbs. in weight.
“Ask Me” Roving Info Volunteers
Volunteers signed up for roving “Ask Me” positions will be stationed around the festival grounds and will be in place to answer any question that the guests may have. These volunteers will hold a large “lollipop” shaped sign that will tell guests that you can answer any questions they may have. This is a great position for those people wanting to get outside and hear the music as these positions will be stationed around the festival grounds.
Working Conditions: Duties will require remaining on their feet for the entire shift. Volunteers should be able to stand for long periods of time. Volunteers should come prepared with sunscreen and be properly hydrated before starting their shift.
Program Distribution
Festival programs are the only piece of paper a festival attendee will need to make their way around the festival grounds. Included in the program will be a festival map, along with a music grid detailing when each band will play on each stage.
These volunteers will be responsible for making sure each attendee has a program. There will be several locations throughout the grounds where attendees will be able to pick up a program. These volunteers will make sure that each location does not run out of programs. This will include stocking each location before the gates open, monitoring and distributing programs throughout the day, and cleaning out the unused programs at the end of each day to make room for the next days supply.
Working Conditions: Duties will require volunteers to lift and move boxes that weigh up to 25 lbs. These volunteers should be in good physical condition. Also, distribution will take place with a golf cart so these volunteers should be comfortable operating a cart.
Volunteer Water Distribution
These volunteers will be responsible for keeping our other volunteers well hydrated. Responsibilities will include roaming the festival grounds in a golf cart loaded with 5 gallon water coolers filled with ice water. Each volunteer will have a water bottle that they can refill throughout the day. As the 5 gallon coolers are emptied, these volunteers will refill and continue to roam the festival grounds hydrating volunteers.
Working Conditions: Duties will require volunteers to lift and move coolers and bags of ice that could weigh to 25-50 lbs. These volunteers should be in good physical condition. Also, distribution will take place with a golf cart so these volunteers should be comfortable operating a cart.
Concert Seating Setup
These volunteers will be asked to help set up and organize the 9,500 folding chairs that we will set up around our Main Stage. Duties will include physically moving the chairs from their racks and organizing into sections and rows as designated by CDE. Once all chairs are in place, these volunteers will assist in labeling the sections, rows and chairs with the appropriate signage or sticker. This work will take place the day before the festival so volunteers working on this committee will be able to enjoy the festival knowing their work is complete.
Working Conditions: These volunteers will be asked to work outside and move chairs for most of their shift. Volunteers should be in good physical condition.
Access Wrist-banding
These volunteers will be stationed at each entrance and will be asked to apply wristbands to patrons depending on what level of ticket they have for the festival. Different wristbands will apply for different seating sections so volunteers will be required to read each attendee’s ticket and apply the appropriate wristband. This will help our security staff identify who should be in which area of the festival.
Working Conditions: These volunteers will be stationed outside and will be on their feet for long periods of time. As they will be required to read many different tickets, each volunteer should have good vision and good hand dexterity to apply multiple wristbands.
Mobile Surveys & Mobile Promotions
Volunteers on this committee will be stationed throughout the festival grounds. They will be surveying volunteers to gage their experience, and also giving away various promotional items in turn for their participation. They will carry a small tablet computer that they will use to take information from our guests. This information will help us adapt our festival to ensure all festival attendees are enjoying their experience.
Working Conditions: Duties will require remaining on their feet for the entire shift. Volunteers should be able to stand for long periods of time. Volunteers should come prepared with sunscreen and be properly hydrated before starting their shift.
Persons with Mobility Disabilities Viewing Areas
These volunteers will monitor and secure certain viewing areas so that the space is reserved for persons with mobility disabilities. These volunteers will ensure that all guests have the proper wristbands and that the areas do not become overcrowded.
Working Conditions: Duties will require volunteers to sit and stand in one location. Viewing Areas will offer little shade from the sun; however volunteers will be able to sit depending on work load.
Chair and Bag Valet Station
Volunteers signed up for this committee will staff one of several Valet tents. The purpose of these tents is to offer guest the ability to valet their bag or folding chair if they do not want to carry it around throughout the day. Folding chairs will not be allowed in the viewing areas for the Main Stage, so these volunteers will valet, catalog, and organize all chairs so that as the guests are leaving, they can pick up their chair as they exit.
Working Conditions: Duties will require volunteers to sit and stand in one location. Valet Stations will not be air conditioned but will offer shade from the sun. Volunteers may be asked to lift items up to 10 lbs. in weight.
Roamers
These volunteers will fill in for any volunteer who is either late for their shift, or cannot make their commitment. These volunteers should be able to understand all volunteer functions and fill in as needed. Should all volunteers make their commitment, these volunteers will assist that volunteers that need additional assistance based on work load.
Working Conditions: Volunteers should be able to fill in as needed so should be able to meet the working conditions for all positions.
